AfterCare Policy
1. Aftercare Policies
a. Pick Ups
Only parents are permitted to pick up children from Aftercare unless we receive instructions in writing that another named adult will have the permission of both parents to pick up the child(ren).
Pick up time is 5:30. Late charges will apply if pick up is later than 5:30. Should you arrive late (beyond 5:30) to pick up your child there will be a per diem charge of $10 except in extenuating circumstances with notice.
Should you regularly require late pick up at 6:15, please speak to us for pricing.
Except in unusual circumstances (doctor’s appointment, etc.) please do not pick up your child during their karate class (4:15-5:00 pm). This can be disruptive to the other students' learning and undermines the structured environment that is so important in helping the children with their goal setting, emotional regulation and self-confidence.
b. Missing Child Protocol for Student on Yellow Bus
If a child does not arrive from school and 6Tigers staff have received no prior notice from guardians, the following steps will be taken immediately:
1. 6Tigers Staff will call both parents emergency numbers.
2. Should no parent be reachable, 6Tigers staff will call the school to determine if the child was at school.
3. 6Tigers Staff will make Janet Shihan and Mahdi Sensei aware.
4. Should no contact with either parent (or any other emergency contact provided) or contact with the school confirm the safety of the missing child, 6Tigers staff will call the Ottawa Police using 911.
c. Missing Child Protocol for Student in 6Tigers Van Transportation
If a child does not arrive from the school to the Van and 6Tigers staff have received no prior notice from guardians, the following steps will be taken immediately:
1. 6Tigers Staff will approach school staff to ask for assistance in locating the child.
2. 6Tigers Staff will call both parents emergency numbers.
3. 6Tigers Staff will make Janet Shihan and Mahdi Sensei aware.
4. Should no contact with either parent (or any other emergency contact provided) or contact with the school confirm the safety of the missing child, 6Tigers staff will call the Ottawa Police using 911.
d. School Absence
If your child does not attend school for any reason, you must let us know as soon as you know. We must inform our driver and staff so that we are not searching or waiting for children that are happily at home with you!
IF YOU FAIL TO NOTIFY US, there will be a charge of $50.
e. Emergency and Medical Information
It is the responsibility of the parent(s) and guardian(s) to keep all information in GymDesk up to date and accurate. Should your child experience a medical emergency, the following steps will be taken:
A) MINOR INJURIES
Injuries such as stubbed toes, bumps, bruises and minor scratches will be dealt with by staff who have up to date First Aid and CPR C certification. Parents will be informed on arrival of the issue and the steps taken.
B) SERIOUS INJURIES
Should a more serious injury such as cuts, potential fractures or tears, joint issues occur, 6Tigers staff will administer first aid as appropriate and contact parents.
C) VERY SERIOUS INJURIES
In the unlikely event of a very serious injury (concussion, broken bones, serious contusion), 6Tigers staff will contact 911, contact parents, accompany the child in ambulance and stay with the child until parents arrive. Since our staff assumes formal custody of the child as soon as they leave the designated school pick up area (for children in the 6Tigers Van) or as soon as they receive them from the yellow bus (for yellow bus children), our staff will make the decisions they deem necessary for the well-being of the child until parents arrive to assume custody.
D) ILLNESS DURING AFTERCARE
Should a child present with illness during aftercare (fever, diarrhea, vomiting, abdominal pain etc.), 6Tigers staff will contact parents and request that the child be picked up. The child will be kept safe and comfortable away from the other children as much as possible until parents arrive.
f. Safe Sport and Code of Conduct
6Tigers is aligned with provincial guidelines from Karate Ontario and adopts standards reflecting the Universal Code of Conduct to Prevent and Address Maltreatment in Sport (UCCMS). Our staff is respectful and has the best interests of the child at heart. We expect all parents and students to behave in a manner that aligns with UCCMS and with the 6Tigers Warrior’s Code.
g. Program Exemption Information

h. Discipline and Behaviour Management
We handle discipline and out of bounds behaviour in clear, progressive steps (e.g., verbal warnings, structured cool-down periods, parental notification). Should behaviour be an ongoing issue that endangers other children, makes the environment unsafe or is disrespectful to the staff and instructors, the child may be asked to leave the program. i. Refund and Cancellation Policy
Please note that aftercare is a 10-month commitment (September to June) from 6Tigers to your family and from your family to us, unless otherwise arranged in advanced and agreed to by both the family and the dojo. Should you wish to cancel mid year, 2 months notice are required whether you are paying monthly or have paid the annual fees.
Should we determine that your child is not suitable for our program, we will provide one month’s written notice and any monies paid for care beyond the final day of care for them will be refunded.
j. Custody Agreements
If your child is covered by a custody agreement, please provide a copy to us so that we are clear on who has permission to pick up your child each day.
k. Snow Days
If there is a SNOW DAY, there is no aftercare, If the roads are deemed unsafe for busses, they are also unsafe for our drivers so there will be no pick ups. The karate class from 4:15-5:00 pm will still happen unless notice is provided by email.
l. Toys from Home
We cannot guarantee the safety or integrity of toys or electronics brought from home. This is an active sports environment and no place for iPads, laptops or other electronics or expensive toys. Children will be asked to leave all toys and electronics in their backpacks during our aftercare and karate classes.
2. Uniforms, Clothing and Merchandise
There are no refunds on uniforms, clothing or equipment that has been worn.
Equipment that is unopened in new condition can be returned and refunded.
